Cleanasys ("we", "us", "our") operates the Cleanasys platform — an online marketplace and management software that connects customers seeking cleaning services with cleaning businesses, and provides cleaning businesses with tools to manage customers, quotes, contracts, schedules, invoices and staff. Cleanasys is a trading name operating in the United Kingdom.
2. Information we collect
We collect information you provide directly to us: your name, email address, telephone number, postal address and postcode, details of the cleaning service you require, photographs or videos you upload, and any messages you send through the platform. For cleaning businesses we also collect business name, registration details, payment information (processed by Stripe), and operational data you enter such as staff, jobs and invoices. We also collect technical data automatically, including IP address, browser type and usage analytics.
3. How we use your information
We use your information to provide and operate the platform, to match customer enquiries with suitable cleaning businesses, to process subscription and credit payments, to generate quotes, contracts and invoices, to communicate with you about your enquiry or account, to verify business profiles, to maintain security and prevent fraud, and to comply with our legal obligations.
4. Sharing your information
Customer enquiry details (including contact information, address, description and uploaded media) are shared with cleaning businesses who unlock your lead so they can provide a quote and deliver the service. We never sell your personal data. We share data with our service providers (such as Stripe for payments and cloud hosting) who process it on our behalf under strict contractual safeguards, and we may disclose information where required by law.
5. Cleaning business responsibilities
Cleaning businesses are data controllers of the customer data they obtain through the platform and are responsible for handling it in accordance with applicable data protection law, including using it only to deliver and manage the cleaning service requested.
6. Your rights
Under the UK GDPR and Data Protection Act 2018 you have the right to access, correct, erase, restrict or object to the processing of your personal data, and to request portability of your data. You can update your details within your account, or contact us to exercise any of these rights. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).
7. Cookies and analytics
We use essential cookies to keep you logged in and operate the platform, and analytics tools to understand how the site is used. You can control non-essential cookies through your browser settings.
8. Data retention
We retain your personal data only for as long as necessary to provide the platform and meet legal, accounting or regulatory requirements. Enquiry and contract records are typically retained for the duration of the business relationship and for a reasonable period thereafter for record-keeping.
